For regular weekend tourneys(10U-14U), the pool games are usually sent out on Wednesdays since there are always late adds and drops. For college showcase tourneys, we usually get the schedule the weekend before so that we can send our game times to college coaches.

Thanks, I didn't know that about showcases. I have a few years before I am in that world, but it is worthwhile learning some things now.

I have a small tournament (8 teams per age level) 3 game pool play on friday and saturday.
Saturday has (5) 2hr timeslots.
the way it works out, one team either plays 8;00, 12:00+4:00 or 8:00, 2:00 and 4:00 (2 in a row)
which one is better (less bad) for that team? this is our 6th tournament and last year was the first time someone complained about the 8/12/4 shift. I understand, but my resources are limited. What say you?

Team 3 gets the shaft in your pools.

How about this scenario?

Team1 plays Friday and gets one break between games on Sat
Team 2 plays 2 then 1 break
Team 3 Plays one then break then 2 in a row
Team 4 plays Friday, then plays on Sat with one break.

Not one team is there all day.

Either option starts at 8am (7am warmups) and ends at 6pm, which makes for a long day. I suppose I'd prefer 8/2/4, because there might be a chance to get away from the fields for a few hours.

If you went with this, nobody is there "all day". 'C' teams have the longest day Saturday, but no games Friday night.

Fri 6pm: D1/D4 and D2/D3
Sat 8am: C1/C4 and C2/C3
Sat 10am: C1/C2 and C3/C4
Sat 12pm: D1/D3 and D2/D4
Sat 2pm: C1/C3 and C2/C4
Sat 4pm: D1/D2 and D3/D4

Thanks Ken for this thread, I recently got back into coaching softball and the Regional Tournament in Beaumont California was the worst ran tournament I've ever been involved with. It's a shame that they didn't even know how to chalk a batters box, at one time the box was 8ft long. The umpires who we always love to hate haven't improved either. The thing I noticed about ASA pitching rules are they aren't enforced, and the umpires refuse to enforce the leap and crowhop, it's just disappointing that these so called pitching coaches are teaching their kids to cheat, not all of course but they are out there.
Coaches are just getting ahead of the curve. The leap is coming.

If you have a home team, it's easier to stretch them out since they can run home and relax on their own couches, eat their own food. You also have your local volunteers on site after the last game to help clean up.
